Privacy Policy
1. Who We Are
Asakana, Inc. is a B2B software company providing AI-powered order management and communication automation to seafood suppliers and distributors ("Suppliers"). Our platform processes inbound orders via SMS, voice, and other channels on behalf of Suppliers. Buyers who interact with Asakana's AI assistant ("Buyers") do so within the context of their existing commercial relationship with a Supplier.
Asakana operates solely as a technology intermediary. We are not a party to any transaction between a Supplier and a Buyer and take no title to any products.
2. Information We Collect
Information provided directly:
- Supplier registration data: company name, representative name, email address, phone number, and business address.
- Order and transaction data: product names, quantities, prices, and order history processed through the platform.
- Buyer contact data: phone numbers and message content submitted by Buyers when communicating with a Supplier's AI assistant.
Information collected automatically:
- Usage data: log files, IP addresses, browser type, pages visited, and feature interactions.
- Device information: device type and operating system.
- Cookies and similar technologies for authentication, session management, security, and analytics, including session recordings of how visitors interact with our website and product (such as pages viewed, clicks, and scrolling), which we use to fix problems and improve the Services.
Third-party integration data: Where you authorize Asakana to connect to a third-party accounting, ERP, or business system (such as QuickBooks Online, Zoho, or SAP), we access and process data from that system solely to provide the Services you have requested, principally the synchronization of orders, customers, products, and invoices between that system and the Asakana platform. We access only the data necessary to provide the Services, and only within the scope of the authorization you grant at the time of connection. We store authentication credentials in encrypted form, use them solely to maintain your authorized connection, and delete them when you disconnect the integration. Data obtained from a connected system is stored in the United States.
3. How We Use Your Information
We use collected information to:
- Provide, maintain, and improve our AI order automation platform;
- Process, confirm, and relay orders between Buyers and Suppliers;
- Send transactional SMS messages on behalf of Suppliers;
- Develop and improve our Services and AI capabilities using aggregated, de-identified data derived from platform usage — we do not use individually identifiable customer content to train shared or public AI models;
- Generate anonymized industry benchmarks and aggregate analytics, which Asakana may use internally or share in anonymized form;
- Communicate product updates, service announcements, and new features to registered Suppliers;
- Detect, investigate, and prevent fraud, misuse, and security incidents;
- Comply with legal obligations and enforce our Terms of Service.
We reserve the right to use anonymized, aggregated, and de-identified data derived from platform activity for any lawful purpose, including product development, benchmarking, research, and marketing, without restriction and without compensation to you. This does not apply to data obtained from a connected third-party accounting, ERP, or business system. We do not use such data for advertising or marketing, we do not sell or share it with third parties for their own commercial purposes, we do not use it to train shared or public AI models, and we do not include it in any aggregated or de-identified dataset used for those purposes.
4. SMS Communications and Consent
Opt Out: Reply STOP at any time to unsubscribe. You may also opt out by emailing [email protected]. Opt-out requests are honored within 10 business days. A single non-promotional confirmation message may be sent to acknowledge your request.

All SMS messages sent through our platform are transactional in nature. We do not send marketing SMS messages to Buyers without separate explicit written consent. Opt-out records are retained for a minimum of 4 years.
No sharing of mobile information: Mobile phone numbers and SMS opt-in/consent information are never sold, rented, or shared with third parties or affiliates for their own marketing or promotional purposes. We share this information only with the vendors that deliver the messaging service to you (such as Twilio) strictly to send the messages you have consented to receive, and as required by law.
5. How We Share Information
We do not sell personally identifiable information to third-party marketers. We may share information in the following circumstances:
- With Suppliers: Buyer order data is shared with the applicable Supplier as necessary to fulfill the service.
- Service providers: We share data with vetted third-party providers (including Twilio for SMS delivery, website analytics providers, and cloud infrastructure providers) under appropriate data processing agreements.
- Aggregated or de-identified data: We may freely share or publish aggregated, de-identified data that cannot reasonably identify any individual or business.
- Legal requirements: We may disclose information as required by law, regulation, or valid legal process.
- Protection of rights: We may disclose information to protect Asakana's rights, property, or safety, or that of our users or the public.
- Business transfers: In the event of a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction.
6. Supplier Responsibility for Buyer Data
Suppliers are solely responsible for ensuring that Buyers whose data is submitted to Asakana have provided all consents required by applicable law for receiving automated communications. Asakana processes Buyer data exclusively as a service provider acting on the Supplier's instruction. The Supplier is the data controller with respect to Buyer personal data, and bears full legal responsibility for the lawfulness of communications directed to Buyers.
Asakana accepts no liability for a Supplier's failure to obtain required consents from Buyers prior to initiating communications through our platform.
7. Data Retention
We retain personal information for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements. Asakana determines retention periods at its reasonable discretion, consistent with applicable law. Order and transaction records may be retained for up to 5 years. SMS opt-out records are retained for a minimum of 4 years.
8. Your Rights and Choices
Depending on your location, you may request access to, correction of, or deletion of personal information we hold about you, subject to applicable law and Asakana's legitimate business needs. To submit a request, email [email protected]. We will respond within 30 days. We reserve the right to deny requests that are manifestly unfounded, excessive, or would conflict with our legal obligations.
9. California Residents (CCPA/CPRA)
California residents have the right to know what personal information we collect, to request deletion, and to opt out of the sale of personal information. We do not sell personal information as that term is defined under the CCPA. We will not discriminate against you for exercising your rights. Requests may be submitted to [email protected].
10. Security
We implement commercially reasonable technical and organizational security measures. However, no system is completely secure. Asakana does not warrant or guarantee the security of any information transmitted to or stored on our platform, and you assume the risk of unauthorized access to the extent permitted by applicable law.
11. Changes to This Policy
We may update this Privacy Policy at any time. Updates are effective upon posting to asakana.co/privacy-policy. Your continued use of the Services following any update constitutes your acceptance of the revised policy. We encourage you to review this page periodically. Where required by law, we will provide notice of material changes.
